OVERVIEW OF ROLE:-

The role of Contract co-ordinator is to execute the day to day operational and customer facing activity. The role is largely a development one in which the person will be required to work at different levels, in different sites and across functions supporting their colleagues in ensuring we consistently achieve our targets, both operational and strategic.

KEY ACTIVITIES AND REPONSBILITIES:-

  1. Play an active and engaged part in ensuring H&S standards are upheld throughout all areas of the business and operations.
  2. Ensure we consistently provide excellent customer care. Taking overall responsibility for delivery service regardless of delivery channels, including the reporting of all relevant KPI’s
  3. Ensure the planning and execution of daily operation(s) is consistently achieved
  4. Ensure necessary resource and controls for the daily operation, ensuring we meet customer demand.
  5. Maintain clear and continual communication channels with both internal and external stakeholders.

ROLE SPECIFICS

STRATEGIC RESPONSIBILITIES

  • Play and active and lead part in delivering the strategic aims of both the business and the customer
  • Collaborate with colleagues at all levels to ensure all are acting aligned with company values and mission statement

COMMUNICATION

  • Communicate effectively and professionally in both formal and informal situations
  • Take a pro-active role in developing and maintaining regular and structured communication channels with colleagues at all levels.

SERVICE DELIVERY

  • Take overall responsibility for delivery service, regardless of delivery channel.
  • Ensure that KPI’s and SLA reporting is at forefront to ensure that both contractual obligations and customer satisfaction are achieved.
  • Ensure that where failure occurs, route cause is sought to understand and actions are fool proof to prevent reoccurrence

MANAGING PEOPLE

  • Provide advice, guidance and leadership to all personnel involved, both direct and indirect reports
  • Ensure 1-2-1’s with relevant staff are held, noted and actions agreed
  • Uphold and meet company deadlines relating to appraisal process

PLANNING, ORGANISING AND MANAGING RESOURCE

  • Ensure resource is aligned with customer and business forecasts, whilst operating aligned to the budgeted financial targets
  • Provide support to the wider division and business as required to ensure that resource is flexed to match volume and activity.

INITIATIVE, PROBLEM SOLVING AND DECISION MAKING

  • Take independent decisions at appropriate level within a defined framework.
  • Use initiative to propose solutions to strategic and operational problems and identify opportunities for collaborative activity
  • Demonstrate initiative in recommending, contributing to or proposing strategic or operational changes and improvements at functional or corporate level.

KNOWLEDGE AND EXPERIENCE

  • 2 x years in a traffic office/transport environment.

  • Experience is a customer facing role.

  • Vehicle route planning

  • Good geographical knowledge of both the local area, and the UK as a whole.

  • Understanding of driver working hours and the WTD.

PERSON SPECIFICATION

  • A motivated and committed person, looking for continual development and progression within the business
  • Experience of managing / delivering financial budgets
  • Ability to both self-motivate and self-manage with autonomy

We currently have an exciting opportunity to work in a fast-paced team for a founding member of Palletline, one of largest pallet networks in the UK. By utilising your effective customer service skills and past experience, you will be responsible for providing a fantastic service to all of our other Palletline member companies. You will get stuck in to the ever-changing transport environment by tracking deliveries, dealing with urgent queries and aiding to ensure free-flowing movement of thousands of palletised goods each week inline with our KPIs. Previous experience in transport is not required as we will train your knowledge areas from the vast amount of experience we have in the business, but customer service and communication skills are vital.

Skills and Knowledge:

  • Effective communicator both verbally and written
  • High attention to detail
  • Works well in a team
  • Competent using basic IT systems such as Microsoft Office.
  • 1 year Customer service experience
